Outlook 2003 / XP Setup

Please Note: The following information is just an example.
You will put in your own name, e-mail address and password where appropriate.

1. Open Outlook and click on Tools > E-Mail Accounts

 

2. To Change an existing email account

Choose "View or change existing e-mail accounts" and click Next. Click here for the next step (2c).

To Add a new e-mail account

Choose "Add a new e-mail account" and click Next.

 

2b. Choose POP3 and click Next. Go to Step 3.

 

2c. To Change an email account, select the account and click the Change button.

 

NOTE: This section also applies to making changes to an existing account

3. Changing or Adding an account will bring up the following main screen

User Information

Enter your name and e-mail address. This what the e-mail recipient will see as the Sender Name and e-mail address.

Server Information

Replace the "yourdomain.com" part with your domain name (after the " @" sign in your email address).

Example: Your email address is joe@mycompany.com. Enter "email.mycompany.com" for both the incoming and outgoing server names.

You can use ms10.mynex.net here. Important if you plan on using secure (SSL) encryption.

Logon Information

Enter your e-mail address and password. Checkmark remember password.

 

4. Click the More Settings button, then the Outgoing Server tab.

Checkmark "My outgoing server requires SMTP authentication" and Select "Use same settings as my incoming mail server".

 

5. OPTIONAL: Click on the Advanced tab.

If you have trouble sending out email

Use SMTP port number 587 if port 25 does not work. Some internet / cable providers block outgoing email that is not using their domain name.

"Leave a copy of messages on the server"

  • Checkmark this ONLY if you will be away from your desktop for a period of time and would like to view new messages via your mobile PC, PDA, Blackberry, etc.
  • Also change the number of days to keep on the server to something like 7 or 14.
  • Remember, a specific amount of disk space (quota) is assigned to each email account. Once it is used up, incoming e-mails will be bounced back to their sender. You will also receive a warning email when your inbox reaches 90% disk space usage.

 

6. Click OK. Then, on the previous window, click Next then Finish.

7. You're all done! Check for new e-mail manually by clicking the "Send / Receive" icon.
